Privacy Policy

Balanced (Dr Laura Lane) is committed to robust, transparent procedures for collecting and storing personal information as set out by this Privacy Policy. 

General Data Protection Regulation (GDPR), implemented by Data Protection Act 2018 in the UK, brought in new legal protection for personal information from 25 May 2018. This Privacy Policy sets out the personal information we (Balanced) collect and store and why. 

The type of personal information we collect​

To provide professional holistic therapies, yoga and health coaching services, we (Balanced) will need to keep information about your health. We only use this information to inform your holistic treatments or health coaching. The information we hold: your contact details; your medical history and other health-related information; holistic therapy or coaching session details and related notes.

How we collect the personal information and why we hold it

Most of the personal information we process at Balanced is provided directly by you for one of the following reasons:

  • For informing holistic therapy, yoga or health coaching sessions and any associated advice provided.

  • For Balanced to communicate reminders/updates/follow ups about appointments/events/classes.

  • We use the information that you have given to us to provide you with the best possible treatment/wellbeing service options, support and advice. We do not pass your information on to anyone else except in the case of a medical emergency or if required by law.  If a referral to another health professional is deemed appropriate your consent will be sought for any information to be shared.

Lawful basis for holding and using client information

Under the UK GDPR, the lawful basis we rely on for processing this information is: 

  • Your consent. You can remove your consent at any time by contacting hello@drlauralane.co.uk

  • We have a legal obligation due to: i) ‘claims occurring’ insurance which requires records to be kept for 7 years after last treatment; and ii) Law regarding children’s records (records to be kept until the child is 25 or if 17 when treated, then 26).

  • We have a legitimate interest to retain the information set out above to provide you with the best possible treatment/wellbeing service options and advice.

  • As we hold special category data (health related information), the additional condition under which we hold and use this information is: for Dr Laura Lane to fulfil her role as a healthcare/wellbeing practitioner, including that bound under the Association of Reflexologists (AoR) Confidentiality requirements as defined in the AoR Code of Practice and Ethics.

How we store and protect your personal information

We are committed to ensuring that your personal data is secure. In order to prevent unauthorised access or disclosure, we have put in place appropriate technical, physical and managerial procedures to safeguard and secure the information we collect from you. We will contact you using the contact preferences you have given me. We keep contact details, health and treatment information for 7 years from the date of last treatment. We will then dispose your information by confidentially shredding any paper records and deleting any electronic files.

Your data protection rights

Under data protection law, you have rights including:

  • Your right of access, to request copies of your personal information.

  • Your right to rectification, to ask us to rectify personal information you think is inaccurate or incomplete.

  • Your right to ask us to erase your personal information in certain circumstances.

  • Your right to restriction of processing, to ask us to restrict the processing of your personal information in certain circumstances.

  • Your right to object to processing of your personal information in certain circumstances.

  • Your right to data portability, to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

  • You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.

Therapist/Health Coach rights

If you do not agree to Balanced keeping records of information about you and the services you have received from Balanced or if you do not allow them to use the information in the way they need to for the delivery of these services, Dr Laura Lane may not be able to treat you/provide you with your chosen service. We are required to keep your records of treatments/wellbeing services received for a certain period as described above, which may mean that even if you ask for any details about you to be erased, we may need to retain these details until that period has passed.

We can move records between computers and IT systems without your permission, as long as your details are protected from being seen by others.

Updates to this policy â€‹

We reserve the right to change/update this Privacy Policy from time to time. We encourage you to review this document periodically. If we make substantial changes to this Policy, we will notify service users via email.​ Dr Laura Lane is our Data Protection Officer/Data Controller.
